This policy explains what personal data we collect on macrosoft.ae, why, where it is stored, who receives it and how long we keep it. It is written to be read, not skimmed. If anything is unclear, write to sales@macrosoft.ae.
Who is responsible
The site is operated by Macrosoft Trading FZ-LLC, license 5026722, Compass Building, Al Shohada Road, Al Hamra Industrial Zone-FZ, Ras Al Khaimah, United Arab Emirates,United Arab Emirates (the operator). The operator is the data controller for the processing described here.
What we collect and why
1. Quote requests
When you send the "Get a quote" form we collect your name, company (optional), an email address or phone number, your message and, optionally, a budget range, plus the page you sent it from. We use this to reply to your request and to prepare a proposal. Legal basis: steps at your request before entering into a contract, and our legitimate interest in responding to business enquiries.
Where it goes. The request is stored in a database on our server hosted by DigitalOcean in Frankfurt, Germany, and a copy is sent as a message to our team's Telegram chat, which means it is also processed by Telegram's servers. We keep requests for 12 months after the last contact, then delete them. You can ask us to delete them earlier at any time.
2. The assistant chat
The chat window on this site is an AI assistant. Messages you type are sent to our server and from there to Anthropic (United States), whose API generates the replies. Anthropic processes these messages under its commercial terms and does not use them to train models. Our server does not store the content of chat messages; it records only the number of tokens used, for cost control. Your conversation history is kept in your browser's session storage and disappears when you close the tab.
If you share contact details in the chat, the assistant will show them to you and ask for confirmation before they are sent to us. Confirmed details are handled exactly like a quote request (section 1).
Please do not type confidential or sensitive information into the chat. Use the form or email for anything you would not put in a message to a stranger.
3. Server logs
Our web server records the IP address, requested page, time, browser type and referrer of each request, as all web servers do, for security and troubleshooting. Logs are rotated and deleted after 14 days.
4. Browser storage
We do not set cookies and do not use analytics or advertising trackers. The site stores two small values in your browser's local storage: whether you have dismissed the storage notice, and your chat session. Nothing in browser storage is sent to us except the chat messages described in section 2.
Who else receives data
- DigitalOcean (hosting, Frankfurt, Germany): stores the website and the request database.
- Telegram: receives a copy of each quote request as a message to our team.
- Anthropic (United States): processes chat messages to generate the assistant's replies.
Some of these providers are outside the United Arab Emirates and the European Economic Area. Transfers are covered by the providers' contractual commitments on data protection. We do not sell personal data and we do not share it with advertisers.
Your rights
You can ask what data we hold about you, ask for it to be corrected or deleted, object to processing, or ask for a copy in a portable format. Write to sales@macrosoft.ae. We answer within 30 days. If you are in the European Economic Area you also have the right to complain to your local data protection authority; in the UAE, to the UAE Data Office.
Applicable law
We process data in line with UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data. For visitors from the European Economic Area and the United Kingdom, we also follow the GDPR and the UK GDPR where they apply.
Security
The site is served over HTTPS. The request database is stored on an access-controlled server with encrypted disks, and only the operator's team can read it. We review access and keep software up to date.
Changes
If this policy changes, the new version is published here with a new date. Material changes to how we use data will be explained at the top of the page.
